Essential Duties and Responsibilities: Accounts Payable Process, mail and file Accounts Payable checks weekly using Quickbooks Maintain invoices for processing and approval Create expense reports and communicate with staff regarding expenses Accounts Receivable Record payments from FACTS or in person using Quickbooks Prepare past due letters on monthly basis Interact with FACTS on behalf of parents Handle parents questions concerning tuition payments, fees, etc. Assist with re-registration and student billing each school year (Jan/Feb) Maintain family rosters updated in QuickBooks, FACTS and RenWeb Payroll Prepare and post Bi-Weekly payroll journal entry Prepare Bi-Weekly payroll distribution for staff using Paylocity Cash Receipts Manage day to day cash receipts via Quickbooks Prepare bank deposits as necessary Complete Bank Reconciliations monthly using Quickbooks Reconcile Receipts monthly Parent Teacher Group (PTG) Maintain PTG Financial information in Quickbooks Handle and monitor cash collection for fundraisers Process and mail Accounts Payable check when needed using Quickbooks Purchasing Order school supplies for office, health, teachers, classrooms, maintenance, etc. Work with Admin and Teachers in ordering textbooks, annually (June/July) Maintain Purchase Order logs Coordinate Field Trip reservations and transportation with teachers Work with Admin and 8th Grade Teacher regarding Graduation tasks Miscellaneous Assist with budget preparation and Year End Diocesan report Attend weekly and monthly school office staff meetings Be available to fill in at school office, when needed Assist Mexico border crossing families with F-1 Visa Maintain SEVIS Schools Information and PDSO/DSO updated Note: These are essential duties and responsibilities for the position of School Bookkeeper, but the position is not limited to only these. Other duties can be assigned as needed Requirements Religious Qualifications: Active, practicing Roman Catholic (Preferred) Respects and understands a Catholic school philosophy Professional Qualifications: Prior Accounting/Bookkeeper experience Knowledge and experience with Quickbooks, Microsoft Office Excel and Word Ability to maintain confidentiality Strong Administrative Skills (ability to multitask, prioritize, attention to detail) Flexibility Ability to work collaboratively Physical Requirements While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the school facility to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds. This position may require evening and weekend work.
