What You Will Be Doing:

Job Summary:

We are seeking a highly organized and detail-oriented Operations Support Intern to join our dynamic team. This role is integral in ensuring seamless day-to-day operations, Supplier Management, Logistics coordination, and Financial Tracking. The ideal candidate will possess strong analytical skills, excellent organizational abilities, and a proactive approach to problem-solving.

Key Responsibilities:

• Support daily operational tasks for the Ops team, including Supplier Management, Logistics coordination, and shipping label creation.
• Audit cost allocations for FedEx and UPS invoices (up to $25K/week), verifying cost allocations and maintaining accurate billing records.
• Participate in team meetings, offering insights for process optimization and taking detailed notes.
• Update and maintain weekly invoice trackers for all shipping accounts to streamline the billing cycle.
• Organize and maintain department files (digital and physical), ensuring easy retrieval and proper record-keeping.
• Assist the COO’s office with contract management, ensuring proper signage, scanning, and digital filing of agreements.
• Assist in implementing cost-analysis frameworks for global AI projects, integrating logistics expenses to improve financial transparency.
• Upload and organize invoices in SharePoint, ensuring proper documentation and accessibility for all AI jobs.
• Support cross-departmental projects as needed, providing operational and administrative assistance.
• Manage Concur account setup for employee expense reporting, ensuring efficient financial tracking and reimbursement processes.
• Provide general operational support to other teams, including ad-hoc administrative and analytical tasks.

Who We Are Looking For:

Qualifications & Skills:

• Currently pursuing or recently completed a Bachelor’s degree in Business Administration, Finance, Logistics, or a related field.
• Strong analytical skills with interest in cost auditing and financial record-keeping.
• Proficiency in Microsoft Office Suite, particularly Excel and SharePoint.
• Familiarity with Concur expense management systems is a plus.
• Strong organizational and multitasking abilities, with a keen eye for detail.
• Excellent communication and interpersonal skills.
• Ability to work independently while effectively collaborating with cross-functional teams.
• Problem-solving mindset with a proactive approach to improving processes.
